Privacy Policy
Effective date: October 11, 2026 Who we are: Deep ATL LLC, doing business as Coverping ("Coverping," "we," "us"), Atlanta, Georgia. Contact: help@coverping.com.
This policy explains what information Coverping collects, how we use it, and the choices you have. It applies to coverping.com, the Coverping text messaging service, and related support.
1. Who this applies to
- Customers: businesses that sign up for Coverping and the managers who administer it.
- Staff members: employees of a customer whose manager has added them to the customer's Coverping roster.
- Visitors: anyone browsing coverping.com.
2. What we collect
From customers and their managers: business name, locations, roles, manager names and mobile numbers, billing contact and payment method (payment card details are collected and stored by our payment processor, Stripe, not by us), scheduling rules the customer writes for its team, and account activity.
About staff members, provided by the customer: name, mobile number, job role, locations where you may work, your typical schedule, and whether you hold manager permissions.
From staff members directly: your reply to the opt-in message, your subsequent text messages to Coverping (for example, that you can't make a shift or that you can cover one), and the time you sent them.
Generated by the service: coverage requests, who was asked, who responded and how, approvals, confirmations, delivery status of each message, and a log of these events.
From visitors: standard web server logs (IP address, browser type, pages viewed) and, if you submit a form, the information you enter.
We do not collect patient, client, or customer data of the businesses that use Coverping. Coverping is a staff scheduling tool, not a clinical or customer records system.
3. How we use it
- To send and receive the text messages that make up the service: opt-in requests, coverage requests, replies, approvals, confirmations, help and opt-out confirmations.
- To decide whom to ask to cover a shift, using the roles, locations, schedules, and rules the customer provided.
- To bill customers for the service.
- To provide support, investigate problems, and keep the service reliable and secure.
- To improve the service, including reviewing message logs to make routing and wording better.
- To comply with law and enforce our terms.
Coverping uses automated systems, including machine learning models, to interpret text messages and to rank who should be asked to cover a shift. A manager at your workplace approves coverage before it is final unless your workplace has chosen automatic confirmation.
4. Text messaging and consent
Coverping sends SMS messages only to staff members who have replied YES to an opt-in message. Message frequency varies with shift coverage activity at your workplace. Message and data rates may apply. You can opt out at any time by replying STOP to any message, and get help by replying HELP or emailing help@coverping.com.
SMS consent and mobile phone numbers collected for SMS purposes are not shared with third parties or affiliates for marketing or promotional purposes.
5. How we share it
We share information only as needed to run the service:
- With your workplace. Managers at the customer that enrolled you can see your roster entry, your coverage requests and responses, and your opt-in status.
- With service providers acting on our instructions: Twilio (message delivery), Anthropic (interpreting message text and ranking candidates), Stripe (payments), Google (the spreadsheet-based admin interface, where a customer uses it), and our hosting and database providers. Each is bound to use the data only to provide its service to us.
- For legal reasons, when required by law, subpoena, or to protect rights and safety.
- In a business transfer, if Coverping or Deep ATL LLC is acquired or merged, under this policy's protections.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
6. Retention
We keep roster and message data while the customer's account is active and for 12 months after it closes, so customers can reference coverage history and so we can resolve billing questions. Paused or dormant accounts are kept for 12 months from their last activity. Opt-out records are kept as long as needed to honor the opt-out. We may keep aggregated, de-identified statistics indefinitely.
7. Security
Data is encrypted in transit and at rest. Access is limited to people and systems that need it to operate the service. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
8. Your choices and rights
- Opt out of texts: reply STOP.
- Correct your roster information: ask your manager, who maintains the roster.
- Access or delete your information: email help@coverping.com. If you are a staff member, we may direct the request to your workplace, which controls the roster, and we will honor deletion requests subject to our legal and billing record obligations.
- Residents of states with privacy laws (for example California, Colorado, Virginia, Connecticut, Texas) have rights to access, correct, delete, and obtain a copy of their personal information, and to not be discriminated against for exercising those rights. Email help@coverping.com to exercise them. We will verify your identity before acting.
9. Children
Coverping is a workplace tool and is not directed to anyone under 16. We do not knowingly collect information from children.
10. Changes
We will post changes here with a new effective date. Material changes will be communicated to customers by email.
